{"id":4514,"date":"2021-06-30T11:26:18","date_gmt":"2021-06-30T11:26:18","guid":{"rendered":"https:\/\/codewaveinsdev.wpengine.com\/?p=4514"},"modified":"2023-08-01T16:13:50","modified_gmt":"2023-08-01T16:13:50","slug":"saas-ux-design-revamp","status":"publish","type":"post","link":"https:\/\/codewave.com\/insights\/saas-ux-design-revamp\/","title":{"rendered":"Legacy Saas UX revamp: The struggle of sunsetting the old &#038; embracing the new"},"content":{"rendered":"\n<h2 id=\"listening-to-saas-product-leaders\" class=\"wp-block-heading\">Listening to SaaS product leaders<\/h2>\n\n\n\n<p>We love listening to SaaS product leaders, aspiring to do a UX revamp.<\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#1a8cf5\"><em>\u201cWhy can\u2019t everything just be as simple as a Google search?\u201d<\/em><\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#1a8cf5\"><em>\u201cWhy the hell do we still have those overwhelming menus?\u201d<\/em><\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#1a8cf5\"><em>\u201cWhy can\u2019t everything just be a simple slack conversation!\u201d<\/em><\/p>\n\n\n\n<p>It\u2019s amazing how within a few minutes into the conversation, they would list down 17 quick fixes to eliminate the unnecessary.<\/p>\n\n\n\n<p>I\u2019ve heard some of the most thought-provoking questions from legacy enterprise SaaS companies that have been around for decades, aspiring to modernize their software \u2013 but could almost never do it, because thousands of users are habituated to using their product someway.<\/p>\n\n\n\n<p>It\u2019s a hard decision to make. When to sunset the old &amp; embrace the new, especially when the status-quo seems to be working well.<\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#529df7\"><em>\u201cI want to do something aspirational with AI\/ML to simplify the mammoth we have, just don\u2019t know who can intervene &amp; own the journey with us\u201d<\/em><\/p>\n\n\n\n<h2 id=\"case-study-hr-software-company\" class=\"wp-block-heading\">Case Study: HR software company<\/h2>\n\n\n\n<p>One of my consulting gigs was with an HR software company that takes care of all employee experiences from entry to exit.<\/p>\n\n\n\n<p>And it looked something like this:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031350\/UI_UX_revamp_legacy_sytems_2.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">HR software UI screenshot<\/figcaption><\/figure>\n\n\n\n<p>I was going through the product in greater depth, and some of the first thoughts that came to my mind, being a UX person were \u2013&nbsp;<\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#26de81\"><em>\u201cWhy can\u2019t I see what I\u2019m needed to do on priority this week, what I need to delegate or get approved?\u201d<\/em><\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#26de81\"><em>\u201cWhy can\u2019t we have a fluid UI, that dynamically arranges my menu based on my recent activity &amp; most frequently accessed features\u201d<\/em><\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#26de81\"><em>\u201cWhy can\u2019t we go menuless? Or replace static navigations with dynamic menus, the most frequently accessed module, becoming my home\u201d<\/em><\/p>\n\n\n\n<p class=\"has-text-color\" style=\"color:#26de81\"><em>\u201cWhy can\u2019t we have conversational UI, for simplifying finding information &amp; initiating workflows to get things done\u201d<\/em><\/p>\n\n\n\n<p>Thinking expansively on these questions, I started drawing a few user personas, who used the product almost on a daily basis, to do their job.<\/p>\n\n\n\n<p>Persona in charge of hiring &amp; exits, persona in charge of expenditure reimbursements, persona in charge of employee engagement.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031337\/UI_UX_revamp_legacy_sytems_6.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">User persona: Hiring &amp; bills<\/figcaption><\/figure>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031408\/UI_UX_revamp_legacy_sytems_8.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">User persona : Employee engagement<\/figcaption><\/figure>\n\n\n\n<p>And the most important user \u2013 the employee.<\/p>\n\n\n\n<p>I was imagining an anxious employee, waiting to see payslips, PF money, vacation balances &amp; overtime compensation.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031400\/UI_UX_revamp_legacy_sytems_11.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">User persona: Curious employee<\/figcaption><\/figure>\n\n\n\n<p>The more I did the personas &amp; empathized with these characters, the easier it got for me to imagine a solution \u2013 that made everyone\u2019s life easier.&nbsp;<\/p>\n\n\n\n<h2 id=\"one-menu-fits-all-is-dead\" class=\"wp-block-heading has-black-color has-text-color\"><strong>One menu fits all \u2013 is dead.<\/strong><\/h2>\n\n\n\n<p>What if HR admins got to simplify their work, by just configuring the system to how they want to use it?<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031327\/UI_UX_revamp_legacy_sytems_7.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">Dynamic Journeys<\/figcaption><\/figure>\n\n\n\n<h2 id=\"take-that-idea-to-the-next-level\" class=\"wp-block-heading\"><strong>Take that idea to the next level<\/strong><\/h2>\n\n\n\n<p>What if AI\/ML can learn user\u2019s preferences and listen closely to what they\u2019re actually doing on a daily basis \u2013 to reconstruct the UI they see every day?<\/p>\n\n\n\n<div class=\"wp-block-group\"><div class=\"wp-block-group__inner-container is-layout-flow wp-block-group-is-layout-flow\">\n<div class=\"wp-block-group has-background\" style=\"background-color:#fed330\"><div class=\"wp-block-group__inner-container is-layout-flow wp-block-group-is-layout-flow\">\n<p><strong>Persona, Intent, Habit based UI<\/strong>:&nbsp;<\/p>\n\n\n\n<p>Dynamically rendering Content, Actions, Flows.<\/p>\n<\/div><\/div>\n<\/div><\/div>\n\n\n\n<p>I love asking these \u201cWhat if\u201d questions \u2013 that stretch all of our thoughts, to imagine new possibilities.<\/p>\n\n\n\n<p>I then started creating a few slides for my presentation to the client, listing down recommendations &amp; approaches:<\/p>\n\n\n\n<ul>\n<li><strong>Fluid, conversational UI<\/strong>&nbsp;instead of static navigation<\/li>\n\n\n\n<li>Frequently accessed becomes&nbsp;<strong>first menu<\/strong><\/li>\n\n\n\n<li>Simple,&nbsp;<strong>minimal on the outside<\/strong>&nbsp;\u2013 sophisticated inside<\/li>\n\n\n\n<li><strong>Repeated actions<\/strong>&nbsp;can become main menu (ML)<\/li>\n<\/ul>\n\n\n\n<ul>\n<li>Actions can be&nbsp;<strong>instant or scheduled<\/strong>&nbsp;(ML based prompts)<\/li>\n\n\n\n<li>Enterprise level configs \/ rules can be set for&nbsp;<strong>flexible UX<\/strong><\/li>\n\n\n\n<li>Look ups, finding actions can be&nbsp;<strong>voice command driven<\/strong><\/li>\n\n\n\n<li><strong>Data charts<\/strong>&nbsp;can be served to a voice command \/ mobile friendly<\/li>\n<\/ul>\n\n\n\n<p>I also tried sketching a wireframe, to put all of these ideas into motion and trying to visually communicate the power of AI-enabled dynamism, on a single screen.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031322\/UI_UX_revamp_legacy_sytems_5.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>I was also fascinated with this idea of AIML enabled&nbsp;<strong>Assistive UI<\/strong>, which makes life a lot simpler for workflow-based apps, requiring follow-ups, calendar events, reminders, TODOs, Triage sheets, etc.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625032836\/ui_ux_legacy_to_modern_design_systems.gif\" alt=\"\"\/><\/figure>\n\n\n\n<p>I was ready for the presentation. And the client loved the approach we suggested.<\/p>\n\n\n\n<p>Some things that really created value for this aging SaaS:<\/p>\n\n\n\n<ul>\n<li>Dynamic, fluid UI that makes UX very personal &amp; habit aware<\/li>\n\n\n\n<li>Bold, intentional, minimal UI that reduces cognitive load by simplifying prioritization of actions.<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p>Hick\u2019s law suggests more things you eliminate, higher the productivity.<\/p>\n<\/blockquote>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031325\/UI_UX_revamp_legacy_sytems_4.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">Hick\u2019s Law<\/figcaption><\/figure>\n\n\n\n<ul>\n<li>Simple, Clear, Conversational messaging &amp; interactions<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/res.cloudinary.com\/codewavetechnologies\/image\/upload\/q_auto:eco\/v1625031346\/UI_UX_revamp_legacy_sytems_10.png\" alt=\"\"\/><figcaption class=\"wp-element-caption\">Fitt\u2019s Law<\/figcaption><\/figure>\n\n\n\n<p>When the UX is nailed, UI design becomes a lot simpler.
